Assign Work Order (New UI)

Objective: Gain an understanding of how to Assign a Work Order.

 

Prerequisites: A Work Order that is ready to be assigned must already exist in the system.

 

The Work Order Assignment tab is accessed by clicking 'Maintenance' in the Navigation Sidebar and 'Operational' from the Navigation Dropdown or can also be accessed by simply clicking on the Operational tile on the Maintenance Dashboard.

 

Then select the 'Assign' tab:

 

This will display the following dashboard:

 

  • Checkbox (): You can select multiple Work Orders to perform a bulk operation.

  • Status: Automatically populated field that displays the unique Work Order status likely to be TCOMP or COMP.

  • ID: Automatically populated field that displays the unique Work Order ID.

  • Description: Automatically populated field that provides a description of the Work Order.

  • Asset ID: The unique identifier of the affected Asset selected for the Work Order.

  • Asset Name: Automatically populated field that displays the asset name that this Work Order is associated with.

  • Work Type: Automatically populated field that displays the Work Type.

  • Failure: The Failure Code selected for the Work Order.

  • Remedy: The Remedy Code selected for the Work Order.

  • View (): Clicking this button will open the Work Order, where it can be edited or completed.

 

Resources can be assigned directly from this section:

 

or via the Work Order form itself.

 

 

  • Task: Shows the linked Work Task ID, if configured.

  • Craft: The selected Craft.

  • Resource: The Resource that has been assigned to work on the Craft.

  • Actual Hours: Actual time spent on the Work Task by the Resource.

  • Actual Start: The actual date and time the Resource started the Work Task.

  • Actual Finish: The actual date and time the Resource finished the Work Task. A new Resource can be allocated to a Work Task by clicking on the plus () icon in the top right-hand corner.

 

To delete an entry, click on the 3 dots () icon on the far right-hand side and select Delete.

 

Status Icons in the first column on the left for each Work Task represent the following:

  • : A Work Task is yet to have a Resource assigned to it.

  • : A Work Task has had a Resource assigned to it but is yet to be completed.

  • : A Work Task has been completed by the Resource that was allocated to it

 

To input a Resource, Labour must be populated first. See below:

 

Work Task

Work Tasks are the individual tasks associated with a Work Order and is an optional field. You can add multiple Work Tasks within a single Work Order by clicking the "+" add button.

 

A dialog box pops up as shown below.

 

  • Description: A free text field to add a description of the task.

  • Work Task ID: It can be any numeric value.

 

Labour

By clicking the "+" icon, the Add Labour dialog box pops up.

  • Work Task: This is an optional field where users can select the Work Task that they have created above.

  • Quantity Required: It can be any numeric value.

  • Hours Required: It can be any numeric value.

  • Craft: Search and select the required Craft.

 

Resources

  • Labour: A drop-down list that details the Labour that can be associated with the Asset. This will be pre-filled if the Asset already belongs to a Work Group.

  • Resource: A drop-down list that details active resources that can be assigned to the job. Resources set to 'Inactive' cannot be assigned as a Resource however, 'Inactive' resources already assigned to an existing Work Order can be updated.

  • Status: The status can be updated here.

  • Actual Hours: A numeric field to input the hours of work required for the task assigned to the selected Resource.

  • Actual Start: The actual date and time the Resource started the Work Task.

  • Actual Finish: The actual date and time the Resource finished the Work Task.

  • Comments: It is an optional free text field used to record the comments associated with the Work Order.

 

Clicking "Print Work Order" button will open a printable version of the Work Order.

Assign Work Workflow:
